Smart Attendance — Privacy Policy
Last updated: 15 October 2026
Smart Attendance is an attendance and salary app for a single office, used by that office's own administrator. It is published by Hemangbhai (India). Contact: hello@hemangbhai.in.
What the app collects
The administrator types this in while running the office:
- Staff records — name, employee code, mobile number, optional email, designation, department, joining date, monthly salary.
- Attendance — the day, check-in and check-out times, and how the mark was made.
- Leave, holidays and salaries — the records the office needs to pay its staff.
Attendance is marked by hand. The administrator marks each person from the staff list on the device: one tap, one confirmation. The app uses no camera and does not recognise faces — no photographs are taken, no face measurements are made, and nothing of that kind is stored or synchronised.
Where the data goes
- On the device — everything is stored locally first. The app works with no internet connection at all.
- Firebase (Google) — if the office signs in, the records above are
copied to that office's own private area of the app's Firebase project (Google Cloud, Mumbai
region /
asia-south1) so the office has a backup and can use a second device. One office's data cannot be read by another office or by any other user; the project's security rules enforce that. - Google AdMob (advertising). The app shows one banner ad, on the browsing and reporting screens. The ad SDK receives the device's advertising ID, the app's package name and ordinary technical data (device model, language, IP address) so it can serve and measure an ad. It never receives the office's staff, attendance, leave or salary data - none of that is passed to it in any form. Google's own handling of that data is described at policies.google.com/technologies/partner-sites.
- The app contains no analytics, no crash reporting and no other third-party trackers.
What the app never does
- No camera and no microphone: no image, frame or sound is captured, stored or uploaded.
- No data is sold or rented. The only parties that receive anything at all are the storage provider named above and Google's advertising service (see Advertising).
- To reset the advertising ID the ad SDK uses: Android Settings → Privacy → Ads → Reset advertising ID. The app cannot read or change it itself, and nothing about the office's records is attached to it.
- No location, contacts, SMS or call data is read or stored.
Permissions and why they are needed
- Internet / network state — to synchronise with the office's own Firebase copy.
- Notifications — to remind the administrator when a day was not marked, or when someone is still checked in at closing time.
Your control over the data
- The administrator can edit or delete any staff record, holiday or leave entry inside the app.
- Staff are soft-deleted: the record is hidden from the working lists but kept so past salaries still add up. Clearing the app's data (Android Settings → Apps → Smart Attendance → Storage → Clear data) removes everything on the device.
- To delete the account itself, open Settings → Delete account (at the bottom of the Admin account card). That removes your administrator account, the office's holidays/leave/settings documents and everything on that device. Staff, attendance and salary records are the payroll history and are not removed by it.
- To delete the office's data on the server, sign in and delete that office's documents in the Firebase console, or write to hello@hemangbhai.in and it will be removed.
Children
The app is a workplace tool for adults. It is not directed at children and does not knowingly hold data about children.
Changes
Any change to this policy is published on this page with a new date.
